For users of Kura to be able to see information within the app or the portal, they need to have the following setup.
All user types are required to have a login account, and for that login, the account to be 'linked' to a profile within the organisation. Each user account can be linked to only one person's profile per organisation. Within each profile, there will be conditions on what they are able to see and action in the portal and app.
Should a user need to be linked to multiple different organisations, they will be able to use just 1 login that can be linked to a different profile in each organisation.
For a user to be successfully linked, they will need to have completed the account creation and link process set out in the ‘Welcome to Kura’ email.
You can confirm if the linking process has been successful on the Kura Portal by going to people> search for the person> click person card. This will open the person detail view, The detail view will show which login account they are linked to:
If a user is not linked, the user will need to complete the welcome process again. You can resend the email more than once if necessary and it is always important to ask the user to check their spam folder as well for this email. If they have already created a login account, then they will need to select the option that they already have an account and should use the email and password they previously set to log in. Once a profile has been successfully linked, a message will appear to the user to confirm this.
Part of the linking process will check that the user has some access rights assigned to them, if the linking process fails then the following will need to be confirmed:
Setting Observer User Type:
Each observer will need to be observing at least one passenger on their profile. To check that this is in place, go to profile> search for the observer> click person card via the settings. This will open the person’s profile.
Check that the person's profile has a passenger configured, this will show under ‘Observer of’. If no passenger profile has been added, this will need to be added by editing the passenger profile and adding in the observer.
Regardless if a user has a passenger linked to their account, a user should be able to successfully register and link their account using the process above. When signing into the app, if a user is not an observer to any profile, they will receive a message that Kura is by invite only. Their profile will then need to be amended.
Admin User or Driver User Type:
Access for either admin, organisation admins or drivers has to be set up to ensure that they have the correct level of access. This is controlled through an authorisations group via the profile settings.
To ensure this is in place, an authorisation group in an organisation must be assigned to a profile. This is for any profile other than passengers or observers.
To confirm a user’s authorisation group, go to people> search for the person> click person card. This will open the person detail view, click EDIT PROFILE.
To check that an Authorisation group has been assigned, this will automatically show the name of any group along with the option to remove this by clicking the X.
If no Authorisation Group has been assigned, and this box will now show as empty, this can be added by clicking on the box which will bring up the options for which group the user can be added to. We do advise that you check the roles and rights before assigning this to a profile. You can check this by selecting the User Permissions on the menu which will then bring up the list of user types. Clicking on each one will show the permissions of this type.
